**The opportunity**: The Executive Assistant is responsible for the provision of proactive administrative support, including advice and recommendations, contributing to the resolution of complex and sensitive issues, providing a contact point for internal and external stakeholders. The incumbent will maintain high standards of professionalism to build strong relationships with branch and Agency staff, internal and external stakeholders, while contributing to the preparation and drafting of reports, briefing notes, undertaking minor research and projects, data collection and analysis. The Executive Assistant is organised and works well in a team and independently to be able to deliver administrative support within tight deadlines. Reporting to the SES, the Executive Assistant will ensure the confidential, timely management and prioritisation of the SES calendar, inbox, and urgent information.
- Demonstrated experience arranging and providing high-level support for meetings and functions.
- Proven experience as executive assistant, personal assistant or equivalent to a senior executive.
- Demonstrated effective organisation and time management skills, including the ability to prioritise, manage multiple tasks.
- Present with exceptional professionalism, sound judgement, discretion, motivation, and initiative.
- Demonstrated ability to recognise and deal discreetly with confidential matters and exercise personal integrity.
- Proven ability to effectively work under pressure and to tight time constraint and meet deadlines.
- Excellent communication skills, including advanced written and verbal skills, including the ability to foster trust and cooperation and interpret and deliver complex information in a clear and simple manner.
- Solid stakeholder engagement skills with a demonstrated ability to build and maintain relationships with diverse internal and external stakeholders.
- A valid Australian drivers licence.
**What you will do**:
- Provide high-quality Executive administrative support
- Provide cross cover with other Executive Assistant roles
- Implement continuous improvement strategies
**Eligibility**: To be eligible for employment in the APS and the department, applicants must:
- Be an Australian citizen or going to be granted Australian Citizenship before commencement. You may be asked to provide evidence of this.
- Undertake a pre-employment security assessment and subsequent security clearance. All staff are required to have a minimum baseline security clearance however some roles will require a higher level security clearance. If you are offered a role and do not have a current security clearance, we will work with you to arrange for this to be undertaken.
- Be medically fit to undertake the duties of the job.
**Notes**: A merit pool may be established and used to fill future vacancies within 18 months from the date the vacancy was first advertised in the Gazette.
