About the role
We are seeking a Landside Services Administration Manager (maternity cover for an initial 6-month contract, with the possibility of extension). This role is responsible for maintaining key internal reporting and databases, general office administration such as document controls, and in assisting Operations Supervisors where needed. This role may provide customer service support (online or in person), collections support, or other responsibilities to fulfil the contract at the discretion of the Landside Services Manager.
The oversight and management of internal reporting, reconciliation of the Car Park Management Systems and Cash Collections, personnel administration, management of payment claims and administrative management for car park operations.
Roles and Responsibilities
- Daily reconciliation of the Car Park Management Systems and Cash Collections
- Investigating and reporting any variances in the reconciliations to the client immediately
- Personnel administration and administrative assistance for car park (LOC), Kerbside and Valet operations
- Assist in the co-ordination of information requested by BAC
- Assist with abandoned vehicles, their collections and disposal
- General data entry
- Monitor adherence to all transaction policies and procedures (including cash handling, credit cards, permanent passes, vouchers, etc)
- BAC Parking Infringement Notices (PINs): reporting (weekly, monthly, & quarterly); processing payments and requesting refunds; processing received and outgoing mail.
- Reconciliation of the Secure Parking Corporate Card account
- Monitoring and resupply of office, first aid and uniform stock
- Establish and maintain effective and harmonious work relationships with colleagues.
- Comply with Secure Parking's workplace health and safety policies, procedures and instructions to ensure a safe workplace.
- Be aware of and demonstrate a commitment to the principles of equal opportunity in the workplace.
- Participate in staff training and development activities to assist in the achievement of individual and work objectives. This includes an expectation that all employees will learn and utilise new technology.
- Undertake other reasonable duties as assigned and appropriate. Skills and Qualifications
- The Landside Services Administration Manager must have a minimum of three (3) years' experience within an administrative setting and demonstrated experience in managing staff, coordinating systems, data, documentation and financial controls
- Intermediate computer skills in Microsoft Applications, in particular Microsoft Word and Outlook
- Intermediate computer skills in Microsoft PowerPoint and Excel
- Minimum typing speed of 40 wpm with a high level of accuracy (98%)
- Human Resource experience preferred
- Honest, reliable and punctual
- Friendly, cooperative and helpful with customers
- Confident dealing with money and numbers
- Good communication skills with the patience to deal tactfully with people.
- Ability to follow instructions as necessary
