Description
We are seeking a highly organised and proactive Administrative Assistant to support the daily operations of the Director and Production team within our signage company. This role is essential in ensuring smooth office workflows, coordinating with clients and vendors, and assisting project teams with administrative tasks related to signage production, installation, and customer service. This is a Part time role 5 days a week between 9am and 2.30pm
Key Responsibilities:
Prepare and maintain project documentation, quotes, invoices, and purchase orders.
Schedule meetings, installations, and deliveries in coordination with production and installation teams.
Maintain office supplies and equipment, ensuring the workspace is organized and productive.
Assist with customer service inquiries and follow-ups, ensuring a high level of client satisfaction.
Coordinate with suppliers and subcontractors for materials, timelines, and deliveries.
Support marketing and sales teams with proposals, presentations, and client communications.
Maintain digital and physical filing systems for easy access to project and client records.
Track job progress and update internal systems with project milestones and deadlines.
Qualifications:
Proven experience in an administrative or office support role (experience in signage, construction, or manufacturing is a plus).
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with project management or CRM software.
Ability to work independently and as part of a team in a quick-paced setting.
Qualifications in office administration or business are a plus.
Preferred Skills:
Familiarity with signage industry terminology and processes (e.g., vinyl cutting, large format printing, installation logistics).
Experience with quoting or job management software (e.g., Buildxact, WorkflowMax, or similar).
Basic knowledge of graphic design software (e.g., Adobe Illustrator or CorelDRAW) is a bonus.
