Your Role at St John of God Health Care Berwick Hospital You will provide Executive Assistance to the CEO for South East Melbourne Hospitals (Berwick Hospital, Langmore Centre and Frankston Rehabilitation Hospital) and support when required to SEM HMC Executives (“The Executives”) including Director of Corporate Services SEM, Director of Finance SEM, Director of Mission Integration SEM, Director of Medical Services SEM, Clinical Governance Manager SEM.
The role also provides guidance for executive administrative caregivers across the Berwick,
Frankston and Langmore sites. This ensures a high standard of secretarial,
administrative and organisational support is provided to the members of the
Divisional HMCs and consistent processes are observed across South East Melbourne Hospitals.
The Position- Provides a professional, executive and personal secretarial support service to the CEO South East Melbourne Hospitals and SEM HMC Executive team.- Produces accurate, well presented documents, including drafting, research and compilation of reports, presentations, correspondence, memos and minutes. Prepares and distributes agendas, minutes and briefing papers.- Coordinates and follows up actions arising from minutes.- Complex diary and events calendar management for the CEO SEM and SEM HMC Executives in Microsoft Outlook.- Ensure all telephone calls directed to the CEO Office are handled in a professional manner, including screening, redirection and follow-up where required.- Event and meeting coordination and management for SEM wide events.- Monitor, prioritize and distribute internal and external correspondence as required.- Coordinates authorised travel arrangements for CEO SEM and SEM HMC Executive team.- Executive expense management including the processing of invoices, expense claims and credit card expense reports.- Maintains a well organised filing and information system and ensures all documents are secure and handled according to organisational protocols.- Management and continuous improvement of administration office systems and processes.- Ensures office equipment and stationery within the Executive area is maintained at the requisite standard and levels
You will have minimum of five (5) years’ experience in a comparable role, providing professional support at Executive level and highly developed interpersonal communication and negotiating skills.
To succeed, you will have initiative, the ability to organize, prioritise and to work autonomously. Accurate and proficient typing, computer, document control and data entry skills with advanced MS Office suite skills.
