Overview You are a highly organised and proactive Administration Coordinator you will support the day-to-day operations of our headspace centre. Working closely with the Centre Manager, you will play a key role in ensuring administrative functions run efficiently and effectively, enabling the delivery of high-quality services to young people, their support networks, and the broader community. Responsibilities
- Coordinate the daily administrative functions of the headspace centre(s) to ensure the centre runs efficiently and provides a quality service to young people and their support networks.
- Contribute as a member of the headspace Senior Leadership Team and oversee the WH&S; requirements of the Centre.
- Undertake administrative duties including review and update of practice manuals, stock control and ordering, maintenance scheduling, and prioritise actions as required.
- Provide administrative support for client appointment bookings and day-to-day operations (telephone calls, liaison with external services) and collaborate with the Community Development Officer to keep social media accounts up to date.
- Take responsibility for the MBS billing requirements of allied health and general practitioners and maintain GP rooms and consumable stock as required.
- Ensure that appropriate documentation for credentialing, registration, insurance, service agreements and MOUs are on record and up to date for all stakeholders and that all staff training is recorded and signed off by the appropriate manager.
- Contribute to the induction and orientation of recent staff, private practitioners and in-kind service providers; maintain relationships with essential stakeholders; facilitate effective communications and record key outcomes, assist with coordination of events and provide secretariat services (agendas, minutes for Senior Leadership Team and other meetings).
- Ensure invoices payable are prepared for approval on a weekly basis, manage the centre’s petty cash and associated procedures, and reconcile WMQ Credit Card purchases.
- Develop and implement quality assurance and client satisfaction processes with the Centre Manager and Senior Leadership Team, and participate in the continuous improvement of services. Benefits

- Possession of a diploma or appropriate certificate in a relevant discipline (e.g., Diploma in Practice Management or Business Administration) and/or substantial experience in a similar role in health care management, general practice or health sectors.
- Excellent working knowledge and familiarity with Microsoft Office 365 applications and medical records systems such as MMEX or Best Practice.
- Demonstrated ability to utilise highly developed interpersonal skills and specialist knowledge to efficiently manage private practice administration, client reception and IT systems.
- Detailed knowledge of structures and processes of MBS (Medicare Billing Scheme).
- Highly developed communication skills, including written & verbal communication, customer service skills and good telephone manner, and the ability to engage with young people, private providers, staff, and stakeholders.
- Possession of excellent analytical skills in problem solving, decision‑making and developing systems.
- Possession of excellent time management and organisational skills and ability to meet deadlines.
- Demonstrated ability to work with young people in a manner that is approachable and youth friendly.
- Proof of COVID‑19 vaccination status (or as required by legislation and WMQ policy).
- Relevant probity checks required by legislation and WMQ Limited policy.
