With continued growth across our Managed Services (4PL) division, we are expanding the team with a Customer Service / Administration Officer to support our customers, carriers, and internal operations. Position Overview This role is not your usual customer service role, it is central to ensuring our customers receive exceptional service and that our operational processes run smoothly. The Customer Service / Administration Officer will take ownership of the day-to-day customer enquiries, support operational workflows, assist with onboarding new customers, and provide administrative support across the Managed Services team. The role requires strong communication skills, attention to detail, and the ability to work in a fast-paced logistics environment. Key Responsibilities Customer Service
- Act as the first point of contact for customer enquiries via phone, email, and online platforms.
- Provide accurate and timely updates on bookings, deliveries, delays, and service requirements.
- Manage customer expectations by communicating proactively and professionally.
- Investigate and resolve customer issues by liaising with carriers, internal teams, and stakeholders.
- Build strong relationships with customers to ensure ongoing satisfaction and service excellence. Administration & Operational Support
- Assist with daily operational tasks including booking creation, data entry, documentation, and system updates.
- Maintain accurate records across internal systems, ensuring data integrity and compliance.
- Support the Managed Services team with administrative duties such as reporting, scheduling, and workflow coordination.
- Prepare and distribute operational documents, reports, and customer communications. New Customer Implementation
- Support the onboarding of recent customers, including gathering requirements and setting up accounts and workflows.
- Assist in preparing Service Level Agreements and ensuring alignment across internal teams. Process Improvement
- Identify opportunities to streamline administrative and customer service processes.
- Contribute ideas and feedback to improve operational efficiency and customer experience.
- Support the adoption of new technologies and system enhancements. Reporting & Analysis
- Prepare basic reports on customer activity, service performance, and operational metrics.
- Assist with analyzing trends to support continuous improvement initiatives.
