About the Role: Position: Administrative Assistant Work Schedule: Monday to Friday (with the option for job sharing and working between school hours) Greencorp Landscape Solutions is seeking a proactive and self-motivated Administrative Assistant to join our team. This role plays a pivotal part in the smooth operation of our landscape maintenance services. The ideal candidate should be comfortable working independently, requiring minimal daily supervision. Key Duties and Responsibilities: Daily Timesheet Approval: Using Deputy Timesheet software, you will be responsible for the approval of daily timesheets submitted by our field staff. Work Roster Management: Maintain and update the daily work roster, keeping track of staff movements to ensure effective allocation of resources. Email Correspondence with Gold Coast City Council: Handle email communications with the Gold Coast City Council, maintaining a skilled and efficient line of communication to address project requirements and inquiries. Daily Claims Forms: Submit daily claims forms for completed work to ensure accurate and timely invoicing. Administrative Support: Collaborate with the Managing Director to assist with various administrative tasks related to the company's day-to-day operations. Finance: Provide support across payroll, accounts payable, and financial administration functions. Ensure records are maintained accurately and finance-related tasks are completed efficiently and on time. Fleet Management Support: Work closely with the head mechanic to maintain the company's fleet management work records, ensuring the proper upkeep and maintenance of our vehicles and equipment. Office Management: Ensure the office is kept neat and tidy, creating a clean and well-organized workspace. Manage the cleaner's roster to ensure that all company offices, ablution blocks, and the kitchen are cleaned regularly and maintained in a presentable condition. Issue Resolution: Act as a single point of contact to assist in addressing issues that may arise, such as equipment breakdowns, resident complaints, and compile necessary information for damage claims. This includes coordinating with internal and external stakeholders to ensure prompt resolution. Qualifications and Experience: To be successful in this role, we are looking for a candidate with the following qualifications and experience:
- Proven experience in an administrative role, with excellent organizational and multitasking skills.
- Proficiency in using software tools, including Microsoft Word and Excel, email platforms, and other administrative software.
- Familiarity with accounting software such as Xero highly desirable.
- Strong communication skills, both written and verbal, for effective correspondence with team members and external partners.
- Ability to work independently and take initiative to resolve issues as they arise.
