- $85,000 per annum + superannuation (commensurate with experience) Summary We are seeking a competent, driven and highly organised Office Manager to oversee the day-to-day administrative, financial and operational functions of our Burwood head office. This is a full-time, ongoing position suited to an experienced administrator with strong leadership skills, sound financial acumen and a proven ability to manage multi-site business operations. The successful candidate will play a pivotal role in supporting the CEO, Director and Operations Managers across all three business units. Key Responsibilities
- Plan, organise, direct and coordinate the day-to-day administrative operations of HP Trading Group's Burwood head office, ensuring efficient and consistent service delivery across all three business units – Bistro Sol, Yogurt Flow and Dough Zilla.
- Develop, implement and maintain administrative systems, policies, procedures and filing systems to support the operational and compliance requirements of the group's food retail and hospitality businesses.
- Liaise with accounting staff to manage end-to-end payroll processing for all staff across the group's business units, ensuring accurate and timely payment of wages, superannuation contributions, entitlements and deductions in full compliance with the Fair Work Act 2009 and applicable modern awards.
- Maintain comprehensive and accurate record-keeping systems for all financial, employment and operational documentation, including payroll records, staff contracts, leave entitlements, superannuation schedules and tax obligations.
- Oversee accounts payable and receivable functions, including processing invoices, managing supplier payments, reconciling accounts and preparing financial summaries for the CEO and Director.
- Assist in the preparation of monthly and quarterly financial reports, budget forecasts and cash flow statements to support the financial management and strategic planning of the group.
- Liaise with the company's external accountants, bookkeepers, banking institutions and government authorities including the ATO and Fair Work Commission to ensure all financial and compliance obligations are met.
- Oversee the preparation, management and integrity of all business documentation, including contracts, regulatory records, supplier agreements and operational reports across the group's NSW and Queensland operations.
- Assign and supervise the work of administrative and clerical staff, monitor workflow and individual performance, and provide guidance and support to ensure organisational objectives are met.
- Coordinate and manage human resource functions, including recruitment, onboarding, staff records, leave management, rostering support and performance monitoring for staff across all business locations.
- Prepare and manage operational budgets, monitor office expenditure, track variances and report on financial performance across all three business units to the CEO and Director.
- Manage office facilities, equipment, supplies and resources to ensure a well-functioning and professional working setting at the Burwood office.
- Monitor and ensure ongoing compliance with relevant legislation, workplace health and safety regulations, and food industry regulatory requirements applicable to the group's business operations.
- Assist Operations Managers across Bistro Sol, Yogurt Flow and Dough Zilla with administrative support, coordination of cross-site activities and resolution of day-to-day operational issues. Skills & Requirements
- A minimum of two to three years of demonstrated experience in an office management or administrative leadership role, preferably within the service industry and/or Accounting firm/Bank.
- A relevant qualification in Management or a related discipline
- an Australian qualification is highly regarded.
- Proven ability to plan, organise and manage administrative operations across multiple business units or locations simultaneously.
- Strong leadership and interpersonal skills, with demonstrated experience in supervising and developing administrative and clerical staff.
- Sound knowledge of workplace legislation, including the Fair Work Act 2009, National Employment Standards, and applicable workplace health and safety obligations.
- Demonstrated experience in payroll processing, accounts management and financial record-keeping, with proficiency in accounting software such as MYOB, Xero or QuickBooks highly regarded.
- High-level written and verbal communication skills, with the ability to liaise professionally with internal staff, senior management, banking institutions and external stakeholders.
- Proficiency in Microsoft Office Suite and business management software, with strong attention to detail and record-keeping accuracy.
- Demonstrated ability to manage competing priorities, meet deadlines and maintain organisational standards in a fast-paced, multi-site business environment.
- Prior experience in the banking or financial services sector would be desirable, particularly in areas relating to business accounts, financial transactions, reconciliation or compliance reporting.
