This is a pivotal role sitting at the intersection of administration and marketing — you will be the engine behind our agents’ sales and leasing campaigns, ensuring every Nichols Crowder listing is presented with the precision and impact our clients expect. About the Role
Based at our Carrum Downs Industrial Estate office and reporting to the Sales Director, this full-time role spans three core pillars: sales and leasing file compliance and processing, the preparation and execution of property advertising campaigns, and the preparation of submissions and proposals. With 3+ years of experience behind you, you will bring authority, initiative, and a sharp eye for detail to everything you do. Key Responsibilities
Advertising Campaigns
• Prepare and execute end-to-end advertising campaigns for commercial and industrial sales and leasing listings across print, digital, and portal channels.
• Produce all marketing collateral including IM brochures, digital flyers, EDMs, signage, and social media content to a consistently high standard.
• Manage listings across REA Commercial, Domain Commercial, and agency platforms, ensuring accuracy and compelling copywriting.
• Brief and manage external suppliers including photographers, videographers, graphic designers, and copywriters.
• Monitor campaign performance and prepare post-campaign reports with data-driven recommendations for agents. Sales & Leasing File Compliance and Processing
• Open, maintain, and process all sales and leasing files in accordance with agency compliance requirements and regulatory obligations.
• Prepare, coordinate, and track all transaction documentation including contracts and lease agreements.
• Liaise with vendors, purchasers, tenants, solicitors, and property managers to ensure seamless transaction management.
• Maintain accurate CRM records and pipeline tracking, ensuring file integrity throughout the sales and leasing lifecycle.
• Coordinate due diligence, settlement schedules, and post-settlement follow-ups in line with agency procedures. Submissions and Proposals
• Prepare polished sales and leasing submissions, appraisal packs, and new business proposals for agents and the Sales Director.
• Compile market research, comparable sales data, and property information to support compelling client-facing presentations.
• Coordinate the layout and design of proposals using InDesign, ensuring brand consistency across all Nichols Crowder client communications.
• Manage submission deadlines, version control, and distribution to clients and prospective vendors. What You Bring
• 3+ years of experience in a commercial property administration or marketing role within a real estate agency workplace.
• Demonstrated expertise in property marketing production — digital campaigns, print collateral, and portal management.
• Advanced proficiency in Adobe InDesign and Microsoft Office 365.
• Hands-on experience with AgentBox CRM and portal management across REA Commercial and Domain Commercial.
• Strong understanding of commercial property sales and leasing processes, documentation, and compliance requirements.
• Exceptional written communication skills with the ability to craft compelling property copy independently.
• A proactive, solutions-focused mindset with the ability to juggle competing priorities under pressure.
• Certificate IV in Real Estate Practice (desirable but not essential). Why Join Us
