Role Overview You will play a pivotal role ensuring the smooth running of the clinic and surgical workflow: from triaging emails and booking appointments, through to managing quotations, pre‑payments, billing, data import/scanning, stock tracking, and assisting with multi‑disciplinary meetings. The role encompasses front‑ and back‑office administration at a high level, interacting with patients, surgeons, anesthetists, hospital staff, and internal teams, and requires a high degree of accuracy, initiative and compliance mindset. Key Responsibilities
· Manage email workflows: triage incoming emails, review results, send replies, distribute outgoing correspondence
· Make surgeon clinic appointments and manage clinic schedule
· Oversee clinic operations, including patient check‑in/out, coordination with support services
· Prepare and issue quotations for surgical procedures (self‑funded and insured patients
· Handle hospital estimation requests and procedure quotations for self‑funded patients
· Scan, import and maintain patient and procedural documentation in our systems
· Perform Medicare batching at end of each clinic session
· Monitor and follow‑up patient debtors (both Medicare/health fund and self‑funded)
· Track stock levels (e.g., NOKORI tracking), ordering and maintaining records
· Manage correspondence to referring practitioners
· Send lists to assistant surgeons and anaesthetists as required
· Collect all pre‑payments for procedures and ensure correct processing
· Order consumables
· Prepare and support MDT meetings: agenda, documentation, billing for MDT activities
· Manage room bookings / usage and incoming/outgoing mail
· Handle virtual fax system (sending/maintaining) and TIS online bookings and SMS service management
· Address patient complaints or concerns with composure, escalate appropriately
· Other general administrative duties as required to support the surgical/clinic team Selection Criteria – Essential
· Prior experience (medical or surgical clinic setting strongly preferred) in Medical receptionist role.
· Minimum 1-2 years of medical receptionist experience required.
· Excellent organisational skills, attention to detail and ability to manage multiple tasks concurrently.
· High level of communication skills – interacting with patients, surgeons, anaesthetists and support staff in a professional manner.
· Ability to work within a compliance‑sensitive medical environment (patient confidentiality, Medicare/health fund knowledge, hospital admission workflows).
· Experience with scanning/importing systems, virtual fax systems, SMS booking systems or similar is an advantage.
· Proactive problem‑solver with a 'get‑things‑done' attitude and capacity to work independently or as part of a team.
· For part‑time role: flexibility in hours to cover clinic support and procedural booking needs (to be negotiated).
· Strong competency in quoting, billing, debtor management, hospital procedures and documentation workflows
