We are growing rapid. We are a high-performing team where everyone has real responsibility and the autonomy to use it. The Role This is not a receptionist role. You will own the systems and processes that keep the company moving — from initial enquiry through to invoicing and completion. You will coordinate schedules, manage job bookings, prepare and issue invoices in Xero, follow up outstanding actions and ensure clients get a professional experience at every touchpoint. You will be trusted with financial data and client relationships from the get go. - Coordinate engineer and field staff schedules across multiple concurrent projects
- Manage job bookings from enquiry through to completion
- Prepare, issue and reconcile invoices in Xero; monitor accounts receivable and follow up overdue accounts
- Respond to client enquiries via phone and email — promptly and professionally
- Liaise with project stakeholders
- Maintain compliance registers — licences, insurances, vehicle registrations
- Own and continuously improve internal systems and workflows
- Maintain organised digital filing systems What We Need Non-negotiable:
- Impeccable character — ethics are of real importance to us
- Proven experience in administration or operations in a professional or service-based business
- Xero — you can hit the ground running from day one
- Strong invoicing and accounts receivable experience
- Exceptional written and verbal communication
- High attention to detail and personal accountability
- Confident managing competing priorities without supervision
- Based in the Hills District or nearby — this is an in-office role at Norwest Highly regarded:
- Experience with GoHighLevel CRM or similar platforms
- Background in engineering, construction, surveying, architecture or property development
