Position Description Clinic Receptionist & Administration Coordinator Shine Health & Wellness Location: Initially Yandina Creek then transitioning to Birtinya, Queensland Employment Type: Casual – Approximately 20–25 hours per week About Shine Health & Wellness Shine Health & Wellness is part of a growing wellness movement focused on helping people restore their physical, emotional, and mental wellbeing through advanced wellness therapies and genuine human care. About the Role We are seeking a warm, organised, highly dependable, and people-focused Receptionist & Administration Coordinator to become a key part of our growing team. This role is the heart of the client experience and often the first point of contact for clients reaching out to the clinic. Your communication style, empathy, professionalism, and attention to detail will play a major role in creating a positive and supportive experience for every client. - Welcome clients warmly and professionally into the clinic
- Create a calm, supportive, and positive front-of-house environment
- Build genuine rapport and connection with clients
- Represent the Shine Health & Wellness brand with professionalism, warmth, and empathy
- Guide clients through the clinic experience and assist with general inquiries Bookings & Administration
- Manage the clinic booking system accurately and efficiently
- Respond to client inquiries via:
- Phone calls
- Emails
- Website inquiries
- Social media messages
- Text messages
- Follow up leads and client inquiries promptly
- Rebook clients and manage ongoing appointment schedules
- Process payments and transactions
- Coordinate communication between clients and clinic staff
- Ensure all inquiries and bookings are responded to in a timely and professional manner
- Maintain accurate client records and administration systems Team & Operational Responsibilities
- Work collaboratively and positively within the team
- Follow clinic systems, procedures, and operational protocols consistently
- Demonstrate professionalism, reliability, and accountability at all times
- Maintain excellent attention to detail across all administration tasks
- Support the smooth day-to-day operation of the clinic
