About the role
The Administration Assistant role is to support three Leaders and their respective team members within the Risk Advisory Services (RAS) division in Canberra and Sydney.
The core responsibility is to ensure the team carries out their client and firm responsibilities in a timely manner.
Frequent competing deadlines require prioritisation.
The role demands a mature, organised individual who can work independently as well as part of a wider team in a fast‐paced, dynamic environment.
Key Responsibilities
Formatting of all client‐related correspondence and reporting in accordance with national standards
General data entry and client record management
Maintaining CRM systems for clients and contacts
Managing client files
Ensuring the team follows RSM's internal processes, policies and procedures
Generating weekly and monthly reporting
Collating information for tenders/proposals, managing the process and ensuring timely submission
Providing ad‐hoc administrative support
Organising occasional travel
Completing timesheets for Partners
Supporting client events and training conferences
Processing expenses
Managing inboxes and calendars, coordinating meetings and general calendar management for three leaders
Maintaining correspondence on behalf of partners and documenting and managing deadlines
Preparing invoices for managers prior to Partner approval; entering data accurately and timely; finalising invoices and issuing to client (acting as accounts receivable); following up debtors/client payments
About you
We are looking for a candidate who:
Has a preferred completion of a TAFE or Business College administration course
Has at least 3 years in a similar role; qualified practice experience (e.g., Accountants, Lawyers) is preferred
Is experienced with CRM software
Can work in rapid‐paced environments and balance competing priorities
Possesses strong communication skills and attention to detail
Is a self‐starter who can work autonomously and as part of a team
Has intermediate to advanced proficiency with Microsoft Office packages
