- Provide administrative and executive support to the Chief Executive Officer and the Mayor
- Full-time, fixed term (1 Year) minimum level 5.1 of the Queensland Local Government Industry (Stream A) Award About the role: We are looking for an internal applicant to apply for the position of Executive Assistant for a 1-year fixed term assignment. You will be responsible for providing skilled administrative and executive support to both the CEO and the Mayor. The successful applicant will be responsible for:
- Providing high-level executive and administrative support to the CEO, Mayor, and Executive Team.
- Managing complex calendars, schedules, travel arrangements, meetings, and correspondence for senior executives.
- Coordinating Council meetings, events, agendas, reports, presentations, and meeting minutes.
- Acting as the primary point of contact between the CEO, staff, Councillors, external stakeholders, and the community.
- Facilitating effective communication and workflow management across the organisation on behalf of the CEO.
- Monitoring organisational issues, anticipate executive needs, and ensure timely follow-up on actions and commitments.
- Maintaining confidentiality and exercise sound judgement when handling sensitive information and enquiries.
- Supporting special projects and prepare professional documents, reports, presentations, and briefing materials.
- Providing administrative and operational support for the Local Disaster Management Group and other Council functions.
- Coordinating office operations, including phone enquiries, filing systems, office supplies, vendor relationships, and hospitality services.
- Assisting with continuous improvement of office procedures, systems, and executive support processes.
- Supporting Executive Team and staff meetings, events, and organisational activities as required. Location: This position is based in Barcaldine, with Regional Work and Travel as required. Classification Level: Minimum Level 5.1 of the Queensland Local Government Industry (Stream A) Award – State 2017 and the Barcaldine Regional Council Certified Agreement 2025. Payment of Wages: Council employees are paid fortnightly. - Minimum Year 12 Certificate or equivalent with a minimum of two (2) years' experience in an administrative role.
- Relevant formal qualifications in Business Administration or other relevant fields are highly regarded.
- Current Queensland class 'C' Driver Licence.
- Five (5) or more years' experience in an administrative role reporting directly to executive management is highly regarded.
- Strong computer skills with experience using Microsoft Office Suite, records management systems, and internal computer systems.
