About the Role As a Commercial Property Paralegal, you will work closely with our lawyers and leadership team to assist in the management and progression of a broad range of commercial and property matters. You will play a critical role in supporting efficient matter management, client service, settlements, billing processes, and operational workflow across the practice. This role is suited to someone who enjoys responsibility, takes initiative, and thrives in a fast-paced legal environment. Key Responsibilities:
- Manage and progress commercial and property matters under lawyer supervision.
- Draft correspondence, contracts, settlement documents, notices, authorities, and supporting legal documentation.
- Coordinate searches, settlements, registrations, VOIs, and lodgements.
- Assist with PEXA settlements and Queensland Titles Office lodgements.
- Liaise professionally with clients, agents, brokers, financiers, referrers, and external stakeholders.
- Maintain accurate file notes, records, and matter updates within Actionstep and NetDocuments.
- Monitor critical dates, deadlines, and matter progression proactively.
- Assist lawyers with billing preparation, time recording, collections, and workflow management.
- Prepare briefs, e-briefs, and supporting documentation.
- Support operational improvement initiatives and identify workflow efficiencies.
- Participate in business development initiatives, networking events, and firm activities. Your Skills and Experience:
- Minimum 3+ years’ experience in a Property Paralegal or similar role within a law firm.
- Experience in commercial and/or residential conveyancing and property transactions.
- Experience with PEXA and Infotrack highly desirable.
- Strong understanding of legal processes, document management, and client service standards.
- Proficiency in Microsoft Office Suite, teams and legal practice management systems such as Actionstep, Claude or similar platforms.
- Exceptional organisational skills with the ability to manage competing priorities and deadlines calmly and efficiently.
- High attention to detail and strong problem-solving capability.
- Professional communication skills with a client-focused approach.
