- 7 months Uniting Kari Court is seeking a highly organised and compassionate Administrator to join our aged care community on a full time, fixed-term contract from mid-July 2026 to mid-February 2027. About Uniting Kari Court Uniting Kari Court is a welcoming, close-knit community made up of four households, each home to up to 14 residents. Located in beautiful St Ives, it provides specialist dementia support to just 55 residents, ensuring truly personalised care in a calm and supportive environment. Our Household Living approach brings the comfort of a family home to everyday life, empowering residents to live their day, their way. Supported by our dedicated Uniting Homemakers, each household is a vibrant place where meaningful moments, familiar routines and enjoyable activities help residents feel connected, valued and at home. About the opportunity The Administration Officer is the welcoming face of Uniting, providing comprehensive administrative support and managing reception duties in our residential aged care facility. Beyond typical administrative duties, this role is vital to delivering our person-centred approach and is key to supporting clients and their families throughout the moving-in process. You will proactively seek opportunities to engage with residents and foster meaningful connections within the household and the broader community. Key responsibilities may include
- Respond to inquiries from internal and external stakeholders, including residents' families.
- Collaborate with the Service Manager to ensure up-to-date rosters are accessible to all team members while managing the day-to-day rostering system.
- Organise meetings, schedule training sessions, and take minutes as required.
- Manage the ordering of supplies and consumables.
- Securely scan, upload, and file resident and staff documents in the SharePoint system.
- Process invoices promptly and accurately in the system.
- Communicate effectively with clients from diverse backgrounds and with varied needs.
- Assist residents by performing tasks, including room preparation, booking transport, and arranging services.
- Foster community connections and promote the services of Uniting.
- Ensure clear, timely, and effective communication while maintaining the privacy and confidentiality of each client.
- Uphold the rights and privacy of clients in line with Uniting’s policies and relevant legislation. Qualifications
- Certificate 3 in Business Administration, Customer Service or equivalent qualification/experience Skills & experience The ideal candidate must have strong hands-on experience with computer systems, as the role involves working across various platforms such as CRM, rostering software, and WorkSmart Dynamics. The position is also responsible for online orders for laundry services and facility equipment/accessories.
- Experience in rostering is essential.
- Excellent communication and customer service skills.
- Strong problem-solving abilities, able to negotiate, mediate, and resolve conflicts effectively.
- Keen attention to detail and the ability to multitask efficiently.
- Exceptional organisational and time management skills.
- Advanced computer proficiency, including Outlook, Teams, Microsoft Office, and client data management systems expertise.
