An exciting opportunity has become available for an experienced Medical Receptionist/Administrator to join a modern and growing surgical specialist practice based in Ipswich. This permanent part-time position offers a consistent schedule of 2 days per week (Tuesdays and Thursdays), working from 8:00am to 4:00pm, making it an ideal opportunity for an experienced medical administration professional seeking flexibility and long-term stability. Working closely with a highly respected specialist surgeon and a supportive practice management team, the successful candidate will play an key role in ensuring the smooth day-to-day operation of the patient clinics while delivering exceptional service to patients. As a newly established practice experiencing steady growth, this position offers the exciting prospect of increased hours and expanded responsibilities as patient demand continues to develop over the coming months. Key Duties and Responsibilities will include (but are not limited to):
- Providing a professional and welcoming first point of contact for patients, visitors and healthcare providers.
- Managing incoming telephone enquiries and scheduling patient appointments.
- Coordinating patient consulting sessions and maintaining accurate appointment diaries.
- Registering new patients and ensuring all patient information is accurately entered and maintained within the practice management system (Gentu)
- Preparing patient files, correspondence and documentation for upcoming clinics.
- Processing referrals, medical reports, specialist letters and other clinical correspondence.
- Liaising with patients, hospitals, general practitioners, allied health professionals and other stakeholders.
- Managing billing, receipting, Medicare, DVA, WorkCover and Private Health Fund claims and patient accounts.
- Maintaining confidentiality and ensuring compliance with privacy and healthcare regulations.
- Assisting with general administrative duties including scanning, filing, data entry and document management.
- Supporting the specialist and broader practice team to ensure the smooth day-to-day operation of the practice.
- Delivering exceptional customer service and patient care in a professional, compassionate and empathetic manner. To be closely considered for this position, you will need:
- Previous experience in a medical reception or medical administration role (preferably coming from a surgical specialist private practice).
- Excellent communication and customer service skills.
- A professional, friendly and compassionate manner.
- Strong organisational and time management skills.
- High attention to detail and accuracy.
- Confidence using medical software (Genie or Gentu) and Microsoft Office applications.
- The ability to multitask and work efficiently in a busy environment.
- A proactive and reliable approach to work.
- The ability to work independently and as part of a team.
- A commitment to maintaining patient confidentiality and privacy. Remuneration: An attractive hourly rate of $32
- $40 per hour plus superannuation will be offered to a suitably experienced candidate, commensurate with their skills and experience.
