An exciting chance has become available for an experienced Senior Medical Secretary/Practice Manager to join a modern and growing specialist surgical practice based in Ipswich. This permanent full-time position offers a stable Monday to Friday schedule, working 38 hours per week with no overtime or weekend requirements, providing an excellent work-life balance. Working closely with a highly respected specialist surgeon, a part-time Medical Receptionist and an experienced Business Manager, the successful candidate will become an integral member of a collaborative and supportive team. The practice has established systems, procedures, and workflows in place, ensuring a smooth transition and setting the foundation for long-term success. This is a unique opportunity for a dedicated medical administration professional to take ownership of a pivotal role within a patient-focused and progressive healthcare environment. Key Duties and Responsibilities will include (but are not limited to):
- Oversee the day-to-day operations of the practice, ensuring the smooth and efficient running of all administrative and clinical support functions.
- Coordinate and manage patient clinics, ensuring appointment schedules are optimised and clinics are maintained at capacity where possible.
- Manage patient billing, receipting including Medicare, DVA, WorkCover and Private Health Fund processing and account reconciliation with a high degree of accuracy and attention to detail.
- Prepare and manage surgical quotations, including providing patients with detailed information regarding fees, hospital costs and payment processes.
- Coordinate theatre bookings, liaising with hospitals, anaesthetists and other healthcare providers to ensure seamless scheduling of surgical procedures.
- Provide patient education and support throughout the surgical journey, ensuring patients are well-informed and prepared for upcoming procedures.
- Manage all surgical billing and receipting, including monitoring outstanding accounts and facilitating timely payment collection.
- Coordinate post-operative appointments and ongoing patient follow-up to support positive patient outcomes and continuity of care.
- Work closely with the Practice's Bookkeeper and Accountant to assist with financial administration, reporting requirements and practice performance monitoring.
- Prepare and contribute to weekly, monthly and end-of-financial-year reporting activities.
- Develop and maintain strong professional relationships with hospitals, general practitioners, specialists, allied health providers and other key stakeholders.
- Provide day-to-day leadership, guidance and administrative support to the Medical Receptionist, fostering a positive and collaborative team environment.
- Maintain accurate patient records and ensure compliance with privacy legislation, accreditation standards and practice policies.
- Identify opportunities for process improvement and implement initiatives that enhance operational efficiency and patient experience.
- Assist the Neurosurgeon and Business Manager with practice administration, special projects and operational requirements as needed. To ensure your success in this position, you will require:
- Previous experience as a Senior Medical Secretary or Practice Manager in a similar leadership role within a surgical specialist private practice.
- Strong knowledge of medical administration, patient scheduling, billing, receipting, Medicare, DVA, WorkCover and private health fund processes.
- Demonstrated experience coordinating surgical procedures, theatre bookings, and patient care pathways.
- Exceptional organisational and time management skills, with the ability to effectively manage competing priorities in a busy specialist environment.
- Outstanding interpersonal and communication skills, with the ability to build rapport and maintain professional relationships with patients, medical professionals, hospitals and key stakeholders.
- A compassionate and patient-focused approach, particularly when supporting patients through complex medical and surgical journeys.
- High attention to detail and accuracy when managing patient records, billing, financial administration and reporting requirements.
- Proven ability to lead, mentor, and support administrative team members while fostering a positive and collaborative workplace culture.
- Strong problem-solving skills and the ability to work autonomously while maintaining a proactive and solutions-focused mindset.
- Advanced computer skills and confidence using medical practice management software (Gentu or Genie), Microsoft Office applications and electronic medical record systems.
- A commitment to professionalism, confidentiality, and delivering exceptional patient care and service standards. Remuneration: An attractive hourly rate of $40 to $47 per hour plus superannuation will be offered to a suitably experienced candidate, reflective of their skills and experience.
