Dynamic Pool Designs is seeking an experienced, proactive and detail-oriented Finance Administration Manager to oversee the day-to-day financial operations of our growing business. This is a broad, hands-on finance role that goes far beyond traditional bookkeeping. You'll play a critical role in supporting business operations through accurate financial management, project profitability reporting, cash flow oversight and streamlined finance systems. Working closely with leadership, operations and project teams, you'll help drive efficiency, accountability and financial visibility across the business while contributing to the continued growth of an award-winning company. Role Summary
- Position: Finance Administration Manager
- Location: Northern Rivers NSW
- Type: Full Time
- Competitive salary package based on experience
Key Responsibilities
- Manage day-to-day bookkeeping and financial administration
- Manage end-to-end Accounts Payable including invoice coding, payment runs, supplier queries and credit terms
- Coordinate Accounts Receivable activities including invoicing, receipting, debt follow-up and collections
- Verify supplier, freight and service provider invoices against purchase orders, contracts and agreed pricing before payment
- Prepare financial reports, cash flow reports and project profitability reporting
- Own month-end processes including reconciliations, reporting and accurate monthly P&L; delivery
- Perform bank reconciliations, account reconciliations and month-end close processes
- Support payroll processing, timesheet reconciliation and leave tracking
- Manage contract allowances, contract variations and supplier payment schedules
- Maintain accurate financial records, general ledger coding and document control
- Ensure compliance with GST, BAS requirements and company financial procedures
- Work closely with operations, project management and customer service teams to resolve finance-related queries
- Work alongside outsourced CFO and tax accountant to provide accurate and reliable financial data
- Leverage AI tools, automation and streamlined systems to improve finance efficiency and reduce manual administration
- Contribute to continuous improvement initiatives and operational efficiencies across the business
- Support ad hoc finance projects and reporting requirements as needed
Required Skills and Qualifications
- 5+ years' experience in finance, bookkeeping or accounting-related roles
- Certificate IV in Accounting/Bookkeeping or higher qualification
- Strong experience managing Accounts Payable and Accounts Receivable functions
- Experience preparing financial reports, cash flow reporting and reconciliations
- Strong understanding of GST, BAS obligations and accounting principles
- Experience supporting payroll and timesheet management processes
- Must have existing proficiency in Xero with no training required
- Strong capability using Google Workspace
- Robust organisational skills and ability to manage multiple priorities
- High attention to detail and accuracy
- Strong communication and stakeholder management skills
- Confidence resolving discrepancies and managing supplier/customer financial enquiries
- Ability to work independently, take ownership and manage deadlines effectively
- Proactive mindset with a continuous improvement approach
- Must be an Australian permanent resident or citizen Preferred Skills
- Experience within construction, trades, projects or service-based industries
- Experience with project profitability reporting and contract administration
- Experience working alongside outsourced finance teams or advisors
- Exposure to AI tools, automation or modern finance systems
- Strong commercial awareness and analytical thinking
