We are currently experiencing strong growth and expansion and are seeking motivated Administration Assistants to join our welcoming team on a full-time or part time basis across our Regents Park and Kingswood clinics. - Discounted treatments with partner clinic in beauty To be successful in this role, you will demonstrate: We are looking for someone who combines strong administrative capability with a genuine passion for working with people.
- A warm, empathetic, and professional approach with a diverse range of clients and families
- Minimum 2 years’ experience in a Reception or Administrative role within a health or medical setting
- Strong understanding of client confidentiality and handling sensitive information
- Excellent organisational and administrative skills, with the ability to manage competing priorities
- Ability to work under pressure while maintaining a high standard of work
- Confidence in handling enquiries and converting them into confirmed bookings
- Well-developed communication skills, both written and verbal
- Strong computer literacy and confidence across multiple systems
- Experience with electronic medical records in a paperless environment (highly regarded)
- Ability to take initiative, problem-solve, and work independently when required
- Flexibility to cover annual leave and sick leave when needed
- Willingness to obtain (or current possession of) a Working With Children Check
- Willingness to obtain (or current possession of) an NDIS Worker Screening Check Experience with NDIS, Medicare, and private billing is highly regarded, but not essential. Training will be provided to the right candidate.

Key Responsibilities As the face of the clinic, you will play a vital role in ensuring smooth day-to-day operations and delivering an exceptional client experience.
- Managing reception and front desk operations to ensure every client feels welcomed and supported
- Handling phone calls, email enquiries, and walk-in clients with professionalism and efficiency
- Assisting with the opening and closing of the clinic, maintaining all security protocols
- Providing administrative support to the Operations Manager and leadership team
- Converting enquiries into confirmed bookings and supporting clinic utilisation
- Managing clinician diaries, scheduling appointments, and coordinating calendars
- Processing client payments, Medicare rebates, and NDIS invoicing (training provided)
- Completing general administrative duties to support clinic operations
