HSEQ Administrator The HSEQ Administrator plays a key role in supporting the organisation’s Health, Safety, Environment and Quality (HSEQ) function by maintaining and continually improving the Integrated Management System (IMS). This role ensures that all IMS documentation, processes, and records are accurate, up to date, and aligned with legislative and organisational requirements. The position is responsible for the administration and ongoing management of the company’s HSEQ software platform, Lucidity, including data integrity, system configuration support, reporting, and user assistance. The HSEQ Administrator assists in embedding system processes across the business and promotes effective utilisation of the platform. A core component of the role includes maintaining client compliance portals and internal compliance registers, ensuring all statutory, regulatory, and internal obligations are tracked and met. This includes oversight of training and competency records, maintaining up-to-date worker qualifications, licences, and certifications, and managing competency matrices to verify workforce capability and compliance. Working closely with operational teams, the HSEQ Administrator provides administrative support for audits, inspections, incident reporting, and corrective actions, helping to drive a culture of safety, quality, and continuous improvement across the organisation Key Responsibilities Record Keeping
- Maintain and manage electronic and hard copy records, training documentation, SOCs, licences, and compliance registers.
- Monitor expiry dates for licences and competencies, ensuring renewals are completed and accurately recorded.
- Administer HSEQ systems, databases, digital registers, SharePoint, and intranet content to ensure accurate and compliant record management.
- Maintain confidentiality, accuracy, and integrity of all records and system data. Training & Induction Coordination
- Coordinate onboarding and inductions through the Lucidity system for employees, project teams and contractors.
- Liaise with internal teams and external providers to arrange training, inductions, facilities, and required resources.
- Complete client-specific online inductions and support workforce compliance requirements. Compliance Monitoring
- Conduct IMS reviews and support internal audits and compliance activities.
- Manage client compliance portals, including document uploads, tracking, and renewals.
- Monitor and follow up on licence and certification renewals with employees and contractors.
- Facilitate monthly compliance reviews to ensure registers, portals, and documentation remain current.
- Monitor legal update subscription to identify applicable legislative changes and summarise for internal communication and action.
- Support incident management, corrective actions, inspections, and compliance reporting. Systems, Reporting & Data Management
- Maintain and support HSEQ systems, software platforms, reporting tools, and the Marr intranet.
- Extract, analyse, and present data to produce HSEQ reports, dashboards, KPIs, and trend analysis including end of month HSEQ Reports.
- Support continuous improvement of reporting processes, system functionality, and data integrity.
- Assist with system upgrades, implementation, and user support across HSEQ platforms and internal apps. Communication & Stakeholder Liaison
- Support document control processes and internal distribution of HSEQ documentation.
- Coordinate internal communications, including email communications using mailchimp, uploading project and workforce content to ScreenCloud and the intranet.
- Coordinate the administration of monthly HSEQ Themes including posters, toolbox talks, etc.
- Liaise with external stakeholders on health, safety, and compliance matters.
- Maintain effective communication with employees, operational teams, clients, contractors, and external providers.
- Promote and support safe work practices in line with company policies and procedures. Continuous Improvement & Policy Support
- Participate in continuous improvement initiatives relating to health, safety, and compliance.
- Assist in the development, review, and maintenance of policies, procedures, SOPs, and compliance documentation. Administrative Support
- Maintain the Marr Integrated Management System (IMS), document registers, and controlled documentation.
- Ensure documents comply with formatting, approval, review, and version control requirements.
- Provide administrative support for workplace incidents and corrective actions.
- Raise purchase orders, coordinate medical bookings, and provide administrative support to the HSEQ team as required. About You Education & Experience
- 2 years’ experience in document management or record management
- Knowledge of document management systems like SharePoint
- Proficient in Microsoft Office programs, particularly Word and Excel
- Familiarity with the relevant regulations regarding document keeping and handling
- White Card Key Skills & Capabilities
- Advanced proficiency in Microsoft SharePoint, document control, and intranet management.
- Experience administering HSEQ systems, compliance databases, and digital reporting platforms.
- Strong analytical, reporting, and data management skills, including dashboard and KPI reporting.
- Competence in systems administration, process improvement, and maintaining data integrity.
- Previous experience in HSEQ, compliance, safety, or operational support environments.
- Strong organizational skills, attention to detail, and ability to manage confidential information.
