About The Role Job Location: 1 Spring Street, Melbourne This position provides high level executive support to the Deputy Secretary, Network Design and Integration. The role requires high level interpersonal and stakeholder management skills, including the capacity to liaise with a wide range of internal and external stakeholders on behalf of the Deputy Secretary, including Ministers Offices and the broader transport portfolio agencies. The Executive Assistant supports coordination, monitoring, reporting and information management for the Deputy Secretary's Office. The role ensures timely, accurate, consistent and appropriate information is provided to various stakeholders and government authorities. It must manage risks, meet strict timelines and continually improve business practices, addressing issues as they arise related to the Department of Transport and Planning, Network Design and Integration Executives and Minister Offices. The Executive Assistant is responsible for the effective and accurate flow of information to and from the Deputy Secretary's Office and ensuring effective utilisation of the Deputy Secretary's time through diary management. This role requires an excellent, creative, self‑managing organiser with the ability to work closely with colleagues in a busy dynamic workplace. Selection Criteria
- Enjoys working in a fast‑paced, complex environment and supporting senior leaders to stay organised and effective.
- Communicates clearly and builds robust relationships with stakeholders at all levels, handling sensitive matters with discretion.
- Has strong organisational skills, works independently, and uses initiative to solve problems and manage competing priorities.
- Can manage issues, and prepare clear reports and presentations.
- Provides sound advice, responds to risks, stays calm under pressure, adapts to change, and works collaboratively using digital tools. Qualifications And Experience You'll bring extensive knowledge and an established track record in the application of parliamentary and government processes. Advanced level competency in Microsoft Word, Excel, PowerPoint and Outlook. Pre‑employment Checks and Employment Conditions Relevant pre‑employment screening and reference checks will be required. Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa necessary for the nature of the position.
