Ux Research Operations Assistant - Part Time (Melbourne)

- Manage end‑to‑end user research participant recruitment pipeline via Intercom, including timely collaboration to clarify research requirements and coordination of in-product messaging with platform owners.
- Maintain and process recruitment participant incentives using the Sendoso platform and track spend against the quarterly budget.
- Manage licenses and contracts for key tools (Figma and Mobbin), including managing access requests, usage and seat allocations within contract limits, approving new seat requests, and working with stakeholders to define annual and quarterly contract needs.
- Assist researchers and designers to set up user cohorts for targeted recruitment using Amplitude.
- Conduct monthly CSAT reporting by extracting qualitative feedback from Intercom, cleaning the data, and uploading it to Pendo.
- Ensure high‑quality research documentation by regularly reviewing and updating ways of working, instructions, and reports in the team’s Confluence space. Qualifications
- Experience in administrative duties, project management, and process improvement (supporting a UX research or design team is a bonus).
- Accountability and a passion for effective and timely internal and external communication.
- Experience managing stakeholder relationships and working with distributed teams.
- Strong workload management and prioritisation skills.
- Positive working knowledge of Google Suite (Google Docs, Google Sheets) and strong ability to adopt new tools.
- Experience working with Intercom, Amplitude and Pendo would be an asset. Ideal Traits
