- Senior Administration Assistant About the Role: We have been a leader in family and childcare photography for over 25 years. As we move into our new boutique retail office in Brighton, we are seeking a highly experienced, methodical, and process-driven Operations & Logistics Lead to run our daily business engine. This is a senior, hands‑on role designed for a career administrator. You will take total ownership of our high‑volume workflow—ensuring every client’s experience is seamless, from initial event setup through to final production and delivery. Growth Pathway We are looking for a future leader, not just a task‑executor. For a proven performer who masters our daily machine, this position is structured to mature into an Operations Manager role with full workflow oversight and leadership of junior administrative support. However, this is a small business; even as the operations grow, you will always maintain a hands‑on relationship with our core admin, data tracking, and logistics. Key Responsibilities
- Production & Workflow Tracking: Managing the pipeline of incoming and outgoing work. You will refine and maintain a foolproof filing system for all images, lab orders, and oversee the packing and dispatch of final products.
- Logistics & Event Coordination: Creating and scheduling high‑volume photographic events, managing master calendars, and structuring shoot schedules for our photography team.
- Digital Data Management: Executing tech‑fluent workflows, including setting up and password‑protecting online client galleries.
- Client & Office Stewardship: Handling daily high‑value email/phone enquiries and ensuring all daily office documentation is flawlessly accurate. About You
- Highly Experienced: 4+ years of solid office administration, logistics, or operations experience in a fast‑paced environment.
- Systems Thinker: You naturally thrive on checklists, value structure, and take intense pride in the absolute precision of your data and schedules.
- Hands‑On Grit: You are completely secure in your capability and happy to roll up your sleeves—from high‑level scheduling down to physical packing and trips to the Brighton Post Office.
- Autonomous & Confident: You can manage your own time, problem‑solve on the fly, and require minimal supervision to execute tasks perfectly.
- Tech‑Fluent: Advanced proficiency with MS Office and email pipelines and ability to problem‑solve.
- Digital Data & CRM Management: Maintaining strict data integrity across our customer databases, pipeline tracking systems, and CRM. You will oversee CRM management in order to support customer automations and drive marketing campaigns.
- Office Management & Internal Onboarding: Overseeing the smooth running of our new Brighton office. This includes managing general supplier relationships, maintaining office presentation, and coordinating the operational onboarding and tracking for recent field team members. Why Join Us
