The Administration Officer provides high-quality administrative and office support to ensure the efficient day-to-day operations of Barada Barna Aboriginal Corporation (BBAC) based in Moranbah, Qld. The role supports staff, Elders, community members, and stakeholders through professional communication, accurate record-keeping, and strong organisational skills, while upholding BBAC’s values and commitment to Barada Barna peoples. Main Tasks:
- Provide general administrative support including data entry, filing, scanning, and document management.
- Manage incoming and outgoing correspondence, emails, and phone enquiries in a skilled and culturally respectful manner.
- Maintain accurate electronic and hard-copy records in line with organisational and confidentiality requirements.
- Assist with the preparation of reports, letters, agendas, minutes, and other documentation.
- Coordinate meetings, room bookings, catering, and travel arrangements as required.
- Act as a first point of contact for visitors, community members, and stakeholders.
- Provide accurate information and referrals, escalating matters where appropriate.
- Ensure reception and office areas are maintained to a professional standard.
- Support compliance requirements including maintaining registers, databases, and filing systems.
- Assist with audits and reporting by providing requested documentation.
- Use and maintain administrative systems including Microsoft Office and internal databases.
- Contribute to continuous improvement of administrative systems and procedures.
- Tasks such as onboarding paperwork, training records, and leave tracking (as required). Required qualities:
- Demonstrated experience in an administrative or office support role.
- Strong organisational skills with the ability to manage competing priorities.
- High level of written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Demonstrated ability to work both independently and as part of a team. Desired competencies:
- Previous experience working within an Aboriginal Corporation, community organisation, or not-for-profit sector.
- Certificate III or IV in Business Administration (or similar).
