Woods & Co Recruitment has partnered a family-owned, Mulgrave-based construction, maintenance and refurbishment business that has cemented itself as a trusted name across Victoria. Working across defence housing, council and government contracts, commercial fit-outs, aged care, education and retail, they has effectively doubled their headcount in the last 2–3 years and continues to grow off the back of major project wins, including their recently renewed Make Safe contract through to 2027. - Allocating jobs by region, trade and project as they come in
- Liaising with clients, tenants, supervisors and trades to keep works moving
- Managing client portal and internal CRM updates end-to-end
- Raising purchase orders and processing supplier and subcontractor invoices against budget
- Preparing scopes, variations and completion invoicing through Simpro
- Producing weekly reporting and proactively flagging issues to the Contract Manager What you need?
- Previous experience in a similar administration, scheduling, coordination or accounts payable role, ideally within construction, trades, facilities management or maintenance
- Confidence working across multiple systems (Simpro, client portals, CRMs)
- A natural relationship-builder, comfortable on the phone with clients, tenants and trades
- Strong attention to detail with the numbers: invoicing, coding, budgets
