Role Overview We are seeking a detail-oriented Project Administrator to support our civil engineering projects from inception through completion. The successful candidate will coordinate project documentation, schedules, communications, and office operations to ensure projects run smoothly, on time, and within budget. Key Responsibilities
- Manage project documentation: contracts, submittals, RFIs, change orders, drawings, correspondence, and filing systems (electronic and physical).
- Assist with project scheduling and tracking: milestone planning, progress updates, and resource coordination.
- Coordinate communications among project stakeholders (owners, consultants, contractors, suppliers, and internal teams).
- Prepare and distribute meeting agendas, minutes, and action items; follow up on outstanding items.
- Monitor project deadlines, deliverables, and budget compliance; assist with cost tracking and invoices.
- Maintain project logs, transmittals, and document control processes in accordance with firm standards.
- Support procurement activities: purchase orders, vendor liaison, and material delivery coordination.
- Assist with risk management and quality assurance activities as needed.
- Support on-site field teams as required, liaising between office and field operations.
- Ensure compliance with health, safety, and regulatory requirements. Skills & Qualifications
- At least a degree level of qualifications is required
- At least 1-2 years of relevant experience
- Ability to work independently and as part of a team; comfortable coordinating with multiple stakeholders.
- Basic understanding of civil engineering terminology and project lifecycle is a plus.
- Proactive problem-solver with robust time-management skills.
- Communication and interpersonal skills

- Report writing and presentation preparation
