Due to continued growth within our NSW Water team , WSP is seeking an experienced Senior Project Administrator to join our Newcastle office. In this role, you will support a key Newcastle-based client, working within their Project Management Delivery Office and contributing to the successful delivery of multiple programs as part of a long-term partnership. While your focus will be local, there are also opportunities to engage with broader projects across WSP nationally. This is a full-time office-based role that will require you to be in the client office Monday-Friday. The Role This position is strategically key to our continued growth and impact in the region. We are looking for a proactive, organised and confident administrator with experience in senior project or office administration roles, ideally within a project delivery environment. You will bring a can‑do attitude, strong prioritisation skills and a collaborative approach, ensuring teams and projects operate smoothly and efficiently. Key Responsibilities As a Senior Project Administrator, you will be responsible for:
- Providing office administration support within a client’s Project Management Delivery Office
- Maintaining a positive, collaborative and professional workplace culture
- Leading, mentoring and prioritising work for two administration staff
- Managing and supporting the Aconex document and contract management system
- Delivering high‑quality administrative support to project management teams
- Identifying, contributing to and implementing improvements to workplace processes and documentation
- Supporting weekly and monthly reporting processes and engaging with external stakeholders to update key project data
- Processing online document control system requests and initiating team workflows Coordinating office events and activities

- Proven experience as a Project Administrator ideally within the built and natural environment
- Aconex Administrator experience
- Project Administrator experience
- Excellent organisational and time management skills
- Strong interpersonal and communication skills
- High attention to detail
- Motivated, proactive and team‑focused
- Demonstrated collaborative working style
- Ability to manage multiple stakeholders, priorities and projects concurrently Understanding of project and corporate office environments
- Essential Capability
- Certificate in Business Administration or equivalent experience
- Previous experience in customer‑centric administrative roles
- Demonstrated ability to build positive relationships with customers and colleagues Proficiency in Microsoft Office (Word, Excel, PowerPoint and Visio)
