Customer Service and Operations Manager (Alexandria)

We are a specialist Australian importer and wholesaler with over 30 years in market, seeking an operationally strong Customer Service and Operations Manager. This is a full-time, on-site role sitting at the centre of our order management operation. The Role You will own the complete order lifecycle, from entry through to customer delivery, coordinating across the warehouse, production, art department, offshore suppliers and freight providers. The role combines customer-facing administration with hands-on dispatch coordination. What You Will Do
- Manage the full order queue across CRM and accounting systems, end to end, including reconciling and verifying supplier invoices
- Handle all customer communication, including confirmations, delivery estimates, and proactive updates
- Coordinate warehouse dispatch, courier selection, freight documentation, and tracking, including staging and booking of stock arriving from overseas
- Communicate production and branding requirements to the art department
- Monitor all open orders against production deadlines daily, reading and acting on production schedules
- Liaise with offshore suppliers to confirm on-time dispatch
- Resolve exceptions
- address errors, courier failures, priority orders, and late changes What We Are Looking For
- 2+ years in customer service, administration, or operations coordination
- Background in a product-based business; wholesale, distribution, or manufacturing preferred
- Comfortable across a CRM and accounting platform simultaneously
- dual-system comfort is essential (FileMaker and MYOB experience preferred)
- Exposure to freight or warehouse coordination is a plus
- Highly organised, detail-oriented, proactive, and calm under pressure, with an ownership mentality (treating every order as your own from receipt through to delivery) and commercial awareness (understanding that late deliveries and order errors carry direct business consequences) Job Types: Full-time, Permanent Pay: $82,000.00 – $90,000.00 per year Perks:
