Firbank Grammar School is seeking a proficient and approachable Performing Arts Administrator to provide support to the Performing Arts Department across our Junior and Senior Campuses. A key aspect of this role is to oversee the work of the Performing Arts Administrative Assistant. This role supports the delivery of exemplary customer service to families of students taking part in the School's Performing Arts programs and straddles internal service delivery with external customer service provision. This position reports to our Director of Performing Arts and works closely with our Head of Music and Performing Arts Administrative Assistant. This is an ongoing position, based at our Brighton Senior School Campus, operating full time during school term times only (0.82FTE). The standard hours of this position are Monday to Friday 8:15am
- 4:15pm, with flexibility required due to events etc. If you are a proactive and detail-oriented qualified with excellent communication skills and similar experience, we encourage you to apply. Key Responsibilities:
- Provide administrative assistance to the Director of Performing Arts and wider Performing Arts team, including meeting minutes, database management and management of AMEB examinations.
- Manage and maintain itinerant music staff timetables, monthly timesheets and communication with students, staff and parents.
- Liaise with Performing Arts parent groups, partner schools, maintenance staff and academic staff to ensure effective communication and cooperation.
- Oversee Performing Arts budgets (internal and external) and assist key staff to ensure effective budget management.
- Coordinate transport of students and equipment for major off‑campus events and assist with event management for internal and external performance events.
- Manage ticketing for concerts and productions, including VIP lists, ticket allocation and seating coordination.
- Support the promotion of Performing Arts events, including the creation and generation of programs.
- Assist with Front of House duties for concerts and productions, including coordination of student Front of House staff.
- Administer and coordinate local music trips, events, productions and excursions.
- Manage room allocation for private music lessons and ensemble rehearsals, and maintain the Performing Arts School calendar.
- Complete word processing for documents, notices, memos, proposals and schedules, and generate information for newsletters and social media. Experience and attributes that we are seeking:
- Current WWCC (employee), First Aid and CPR Certificates or willingness to obtain.
- Previous experience in a comparable role in a complex environment.
- Experience using Synergetic, whilst not mandatory, will be highly regarded.
- Experience using Excel, Word and social media platforms.
- Knowledge or interest in music, drama and dance is highly desirable.
- Demonstrated ability to implement policies, processes and procedures.
- Strong interpersonal and communication skills, with the ability to work on a number of tasks at one time.
- Commercial acumen and a keenness and speed in understanding and deciding on a business situation.
- Friendly and approachable demeanor, with a commitment to providing excellent customer service. Applications close: 25 june 2026.
