**About the Role** x1 Front Desk Manager x1 Receptionist Based at our renowned Melbourne clinic, you'll be the first point of contact—making sure every patient feels welcome, supported, and cared for from the moment they walk through our doors. Join our growing team to offer premium, high-class service and care!

**What You'll Be Doing**:

- **First point of contact**: Creating memorable first impressions and professionally greeting patients with warmth and care
- **Managing the appointment book**:Strategically managing bookings to optimise our daily flow, keep the calendar full, and minimise disruptions to ensure a seamless experience for both team and patients.
- **Daily Operations**:Acting as the central hub between clinicians, patients, suppliers, and labs—ensuring everyone is informed, aligned, and supported. Checking in on patients, managing the rooms and communicating with patients.
- **Delivering Standout Service**:Anticipating needs, resolving concerns, and going the extra mile to make each patient interaction feel thoughtful, personalised, and unforgettable.
- **Maintaining Accurate Records**: Ensuring all patient files and data are kept up-to-date, securely stored, and easy to access when needed.
- **Patient Coordinating**:You’ll be the vital link between patients and the clinical team—sending treatment plans, managing schedules, records, and communication with accuracy and care.
- **Handling Transactions with Care**: Processing payments and insurance claims with precision, clarity, and a focus on transparency and trust.
- **Upholding a Professional Space**: Keeping the reception area organised, clean, and welcoming—creating an inviting atmosphere that reflects our high standards.
- **Promoting Team Synergy**: Coordinating internal workflows, managing appointments, and supporting clear team communication to keep our daily operations running smoothly.

**What You'll Bring**:

- Minimum 2 years in a customer service role (dental, medical, or hospitality preferred).
- Experience in HICAPS and private billing systems.
- Confidence in managing payments and maintaining financial transparency.
- Strong written and verbal communication skills.
- Highly organised multitasker who thrives in a fast-paced, high-standard environment.
- Positive energy, polished presentation, and a proactive attitude.
- Team player with leadership potential.
- Strong skills in Microsoft Office and modern office equipment.
- Valid Police Check & Working with Children Check.
