Description
- This is a full-time role (options for part-time), based in the Perth CBD and available for immediate start.
- It is an Administration Level 5 position, with a salary range of $86,298
- $91,616 depending on experience, plus 13% superannuation. Set to increase on July 1.
- Generous conditions are applicable, in accordance with the UnionsWA Enterprise Agreement 2024. UnionsWA is the peak union organisation in WA, servicing 29 member unions with 150,000 members. Reporting to senior leadership, the Office Manager is the operational backbone of UnionsWA. You'll oversee the day-to-day running of the office, support a busy leadership team, and play an active role in improving the systems and processes that keep the organisation running well. This is a varied, hands‑on position that suits someone who takes pride in their work and brings a calm, organised presence to everything they do. The Role will:
- Maintain office systems, supplies, and equipment to ensure a well‑organised workspace.
- Coordinate governance processes, including collating agenda items, preparing board and committee papers, and taking minutes.
- Manage office correspondence, filing systems, and document control.
- Liaise with vendors, service providers, and landlords to ensure smooth operations.
- Provide administrative support to leadership and staff, including scheduling meetings and managing travel arrangements.
- Maintain HR records and support recruitment, onboarding, and staff development initiatives.
- Ensure compliance with relevant regulations and organisational policies and assist with the development and maintenance of internal policies.
- Act as a point of contact for external stakeholders and facilitate communication within the organisation.
- Assist in preparing reports, presentations, and supporting materials.
- Support the planning and execution of events, workshops, and meetings.
- Oversee office software, databases, and digital filing systems.
- Liaise with IT providers to ensure systems are operating effectively.
- Identify and implement improvements to processes and systems.
- Ensure data security and confidentiality protocols are upheld. Selection Criteria
- Proven experience in office administration or management.
- Strong organisational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Knowledge of financial administration and HR processes.
- Proficiency in office software, including Microsoft 365, CRM systems, and online collaboration tools.
- Ability to work independently and collaboratively in a quick‑paced environment.
- A genuine alignment with the values of the union movement and workers' rights. Desirable Skills
- Experience with bookkeeping.
