What You’ll Do
- Act as the central coordination point for the team, keeping schedules, priorities and logistics moving forward to ensure learning programs are delivered efficiently across our national operations
- Manage procurement activities and vendor partnerships, working closely with internal and external stakeholders to ensure effective, compliant and timely delivery of learning solutions
- Maintain clear trackers (actions, schedules, attendance and status updates) so the team can prioritise work and deliver programs with confidence
- Set up and run team routines (planning, meetings, actions and reporting) and continually improve the way the team organises work
- Support continuous improvement by streamlining learning processes, templates and tools to make delivery simpler and more consistent
- Maintain accurate records and reporting by coordinating the recording of Learning & Development activities in our Learning Management System
- Manage the Learning & Development inbox, triaging requests and ensuring timely follow-up Your Experience
- Previous experience in an Executive Assistant, Senior Coordinator or Team Assistant role supporting leaders or specialist teams in a busy environment, with a strong focus on organisation, follow-through and service
- Demonstrated experience coordinating purchasing activities, including raising requests, tracking approvals and processing invoices
- Confident using technology to streamline work (e.g. Microsoft 365, SharePoint, Teams, Excel trackers, document repositories, registers) and keep information accurate and up to date
- Strong administration capability with advanced Microsoft Office skills (particularly Excel and PowerPoint) and confidence learning recent systems
- Highly developed communication and stakeholder engagement skills
- A proactive, organised and solutions-focused approach, with the ability to work autonomously and collaboratively in a busy environment Please note this role requires full working rights within Australia.
