As GP Refresh continues to expand nationally and internationally, we are seeking an exceptional Delegate Manager to help drive delegate registrations, engagement and overall conference success. The Opportunity We are seeking an energetic, highly organised, commercially minded and customer-focused Delegate Manager to lead delegate acquisition, registrations, customer service and engagement across the GP Refresh Conference Series. This is a pivotal role responsible for ensuring an outstanding delegate experience from initial enquiry through to registration, conference attendance and post-event engagement. The successful candidate will play a key role in achieving registration targets while building strong relationships with General Practitioners, Practice Owners, Registrars, Nurses, Allied Health Professionals and healthcare organisations throughout Australia. Key Responsibilities Delegate Sales & Registration
- Drive delegate registrations across all GP Refresh conferences and events.
- Manage inbound enquiries via phone, email, website and social media channels.
- Conduct proactive outbound calls and follow-up activities to convert prospective delegates into registrations.
- Build and maintain strong relationships with delegates and key stakeholders.
- Assist with implementation of delegate acquisition and retention strategies.
- Monitor registration targets and identify opportunities to increase attendance.
- Ensure all registration data is accurate and up to date. Customer Relationship Management
- Maintain and manage delegate databases and CRM systems.
- Provide exceptional customer service to all delegates and stakeholders.
- Manage registration confirmations, invoicing enquiries, transfers and cancellations.
- Coordinate delegate communications before, during and after conferences.
- Develop strong relationships with General Practitioners, Practice Owners and healthcare organisations.
- Ensure a seamless delegate journey throughout all stages of engagement. Social Media & Digital Engagement
- Manage GP Refresh social media platforms including LinkedIn, Facebook and Instagram.
- Create, schedule and publish engaging content to increase registrations and brand awareness.
- Monitor social media channels and respond to enquiries professionally and promptly.
- Assist with execution of social media advertising campaigns.
- Collaborate with speakers, sponsors and partners to maximise social engagement.
- Track and report on social media performance metrics.
- Support digital marketing initiatives and promotional campaigns. Marketing Support
- Work closely with the marketing team to implement delegate acquisition campaigns.
- Assist with email marketing campaigns and EDM distribution.
- Coordinate promotional activities with Primary Health Networks (PHNs), medical groups, healthcare organisations and skilled associations.
- Support telemarketing and outreach initiatives.
- Identify new opportunities to increase registrations and market reach.
- Assist with development of marketing collateral and promotional materials. Event Operations
- Coordinate delegate registration systems and processes.
- Assist with conference planning and event delivery.
- Manage delegate check-in and onsite registration operations.
- Coordinate delegate materials, name badges and conference resources.
- Provide onsite support during conference and exhibition events.
- Assist with speaker, sponsor and exhibitor liaison as required.
- Ensure delegates receive a first-class conference experience. Reporting & Analytics
- Produce weekly registration and sales reports.
- Track delegate acquisition performance and conversion rates.
- Monitor campaign effectiveness and recommend improvements.
- Maintain accurate registration forecasts and reporting.
- Analyse delegate trends and provide strategic recommendations.
- Present registration performance updates to management. Essential Requirements
- Minimum 3 years’ experience in conference management, delegate sales, events, healthcare, education, membership organisations or related industries.
- Proven ability to achieve sales, registration or customer engagement targets.
- Robust relationship-building and stakeholder management skills.
- Excellent verbal and written communication skills.
- Outstanding organisational and time-management abilities.
- High level of professionalism and attention to detail.
- Ability to work independently and manage multiple projects simultaneously. Mandatory Skills
- Advanced proficiency in Microsoft Office Suite including:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Outlook
- Demonstrated proficiency in social media management including:
- LinkedIn
- Facebook
- Instagram
- Experience using CRM systems and database management platforms.
- Strong administrative and reporting skills.
- Excellent telephone and customer service skills. Desirable Qualifications & Experience
- Experience in conference or exhibition management.
- Experience within healthcare, medical education or professional development sectors.
- Understanding of General Practice and healthcare environments.
- Experience with event registration platforms.
- Experience with marketing automation systems.
- Knowledge of CPD education programs and accreditation processes.
