Position Overview The Marketing & Events Coordinator is a hands-on execution role focused on coordinating and delivering Ethnolink’s events, alongside executing marketing and communications activities. This role is ideal for someone early in their events or marketing career who is highly organised, adaptable, proactive, and excited to learn and grow in a fast-paced agency environment. You will work closely with the Head of Growth to coordinate engaging content across multiple channels — including social media, email marketing and the corporate website — while maintaining a consistent and professional brand presence. A major component of this role will involve planning and delivering Ethnolink’s large-scale events, including Summits across Australia several times per year, as well as smaller engagement initiatives such as webinars and activations. This role will involve occasional interstate travel and some out-of-hours work in support of events and activations. Success in this role requires robust attention to detail, excellent coordination skills, initiative, responsiveness, and the ability to take ideas and independently drive them through to completion, ensuring Ethnolink’s marketing reflects its position as Australia’s leading multicultural communications agency. Responsibilities Event Coordination
- Coordinate and deliver Ethnolink’s internal and external events, including large-scale Summits, webinars, networking events, and team events.
- Collaborate with our Event Manager to coordinate event logistics end-to-end, including registrations, venue coordination, sponsorship, catering, run sheets, printing, merchandise, photography, and equipment preparation.
- Support on-the-ground event delivery, including registrations, set-up, troubleshooting, and pack-down for Summits across Australia several times per year. Marketing Coordination
- Coordinate and schedule marketing activity across social media, email marketing, website updates, campaigns, and Ethnolink’s monthly newsletter.
- Execute Ethnolink’s marketing strategy through the development of marketing content, including drafting copy and coordinating design with the internal design team.
- Maintain content calendars and marketing schedules.
- Manage the coordination and delivery of webinars, including registrations, logistics, communications, and post-event follow-up.
- Coordinate approvals and internal reviews for marketing materials, ensuring deadlines are met and feedback is incorporated efficiently.
- Ensure brand consistency across all marketing assets and communications.
- Maintain reporting and basic tracking of marketing activity and engagement. Administration & Coordination
- Manage multiple deadlines and competing priorities across projects and events.
- Maintain organised records, trackers, and documentation.
- Coordinate suppliers, venues, printers, photographers, and external vendors as required.
- Support cross-functional coordination between departments to ensure smooth delivery of initiatives.
- Identify opportunities to improve processes, coordination, and operational efficiency.
- Operate with a high degree of ownership and accountability, proactively progressing tasks and following through on deliverables.
- Manage CRM data to maintain accurate segmentation. Skills & Qualifications Required
- 3+ years of experience in a events coordination
- 3+ years of experience in a marketing or communications
- Experience coordinating events, conferences, or webinars.
- Experience coordinating social media marketing activities.
- Strong organisational and project coordination skills with excellent attention to detail.
- Ability to manage multiple moving parts and deadlines simultaneously.
- Exceptional written communication skills.
- A proactive, hands-on approach with a willingness to learn and grow.
- Ability to take direction and execute efficiently in a fast-paced environment.
- Strong interpersonal skills and ability to work collaboratively across teams.
- Interest in multicultural communications, languages, and community engagement.

- Ability to speak a language other than English.
- Experience using marketing, CRM, event management, or project management platforms.
- Graphic design or content creation experience (e.g. Canva, Adobe Creative Suite) highly regarded.
