The Position We are seeking a well-organised and detail-focused Contract Administrator to join our Property and Contracts Management team. The successful candidate will be responsible for preparing, reviewing, maintaining, and administering contracts, leases, and other property-related contractual documents. This role requires strong attention to detail, good communication skills, and the ability to manage contract records, monitor key dates, support contract variations, and ensure all contractual information is accurate, complete, and compliant with agreed terms and organisational requirements. Key Responsibilities The successful candidate will be responsible for:
- Preparing, reviewing, maintaining, and administering contracts, leases, tenancy agreements, management agreement and other property-related contractual documents
- Reviewing contract terms and conditions to ensure they match approved arrangements, including rent, bond, lease period, payment terms, renewal dates, special conditions, responsibilities, and service obligations.
- Checking all contract and lease information before finalisation to ensure accuracy, completeness, and consistency with approved instructions and agreed terms.
- Interpreting contract clauses, lease obligations, tenancy conditions, service requirements, and internal procedures to support accurate contract administration.
- Managing contract documentation, including contract registers, lease records, tenancy files, correspondence, approvals, renewals, variations, amendments, and supporting documents.
- Assisting with the preparation, review, and administration of contract variations, lease amendments, tenancy updates, service changes, and other property-related agreement changes.
- Monitoring key contract dates, including commencement dates, expiry dates, renewal options, rent review dates, notice periods, payment deadlines, and compliance requirements.
- Communicating with property managers, owners, tenants, contractors, service providers, internal departments, and other stakeholders to ensure contractual obligations are clearly understood and followed.
- Maintaining accurate master property registers, contract registers, lease registers, tenancy databases, and related records to support effective contract management.
- Responding to enquiries and resolving administrative issues relating to contracts, leases, tenancy agreements, service arrangements, and property-related obligations.

- Organising, updating, and maintaining contract and property documents within electronic filing systems to ensure records are accurate, accessible, traceable, and audit-ready.
- Protecting confidential contract, property, tenancy, and client information while ensuring compliance with privacy, security, legislative, organisational, and document control requirements.
- Contributing to improved contract administration procedures, service quality, compliance practices, risk management, and efficient lease and contract management outcomes. Qualifications and Experience The ideal candidate will have:
- A qualification in Business Administration, Contract Management, Property Services, Real Estate, Law, Project Management, Management, or a related field.
- Previous experience in contract administration, lease administration, property contract management, etc.
- Solid understanding of contracts, leases, tenancy agreements, renewals, variations, amendments, registers, approvals, and record management.
- High attention to detail and the ability to identify inconsistencies, missing information, documentation errors, and compliance risks.
- Good written and verbal communication skills.
- Strong organisational and time management skills.
