About the role We are seeking an experienced and proactive Administration professional to join the team at Escape Discovery Adventures. You will be responsible for all administrative functions across Office Management, Sales and Operations. This is a full-time position based in our St Kilda, VIC with the provision to work from home part time. What you'll be doing
- Manage all business administrative duties including Outlook inboxes, record-keeping, inputting invoices, operations and scheduling, creating sales orders and basic quotes and liaising with clients and suppliers
- Provide executive-level support to the senior leadership team
- Prepare reports, financial tracking, and documentation related to tours and administration
- Assist with the development and implementation of company policies and procedures
- Coordinate with tour guides, suppliers and clients to ensure efficient scheduling, timely communication and service excellence
- Identify opportunities for process improvements and implement efficient systems and workflows
- Ensure compliance with all relevant legislation, regulations, and internal policies What we're looking for
- Substantial experience (5+ years) in an administrative management or executive support role, preferably within a fast-paced, dynamic environment preferably in the tourism industry
- Excellent organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines
- Strong attention to detail and problem-solving skills
- Proficient in the use of Microsoft Office suite especially Excel and Outlook and other administrative software. Some IT skills would be an advantage.
- Experience with accounting software for financial management and invoice processing
- Exceptional communication and interpersonal skills, with the ability to liaise effectively with all levels of the organization
- Demonstrated ability to take initiative, work autonomously, and contribute to the overall success of the business
