This is a unique opportunity combining **executive assistance, operational coordination, administration, and project support**. You will work closely with senior leadership to ensure priorities remain on track, communication flows effectively across teams, and business operations run smoothly.
**About the Role**: Reporting directly to the CEO and leadership team, you will be responsible for providing high level executive support while coordinating operational workflows and business initiatives across multiple departments and national office locations.
This role is ideal for someone who enjoys variety, takes ownership, and can confidently balance strategic priorities with hands on execution.
**Key Responsibilities**: **Executive Support**:
- Manage complex calendars, meetings, travel, and scheduling priorities for the CEO
- Prepare presentations, reports, agendas, and company documentation
- Organise executive meetings and track follow-up actions
**Operational Coordination**:
- Track business initiatives, operational projects, and key deliverables
- Coordinate communication and workflow across multiple departments
- Monitor project deadlines, KPI reporting, and accountability measures
- Support process improvement initiatives and system optimisation
- Ensure consistency across operational documentation, reporting, and workflows
**Administration & Systems**:
- Maintain SOPs, templates, records, and operational documentation
- Support onboarding coordination for new employees
- Coordinate procurement and setup of IT equipment and office resources
- Assist with office operations across four national locations
- Contribute to business administration and operational efficiency initiatives
**About You**: You are a commercially minded and highly organised professional who can confidently manage competing priorities while maintaining exceptional attention to detail. You are proactive, dependable, and solutions-focused, with the ability to build strong working relationships across all levels of the business.
**Skills & Experience**:
- 4-7 years' experience in executive support, operations coordination, administration, or project support roles
- Strong organisational and time management skills
- Experience coordinating across multiple teams and stakeholders
- Excellent written and verbal communication skills
- Ability to work effectively in a dynamic, fast-paced environment
- Experience with business systems, reporting, and process coordination
