Due to expansion, we are seeking additional operational and administrative team members to anchor the client-services and workflow-management aspects of the business. This role involves scheduling, coordination of experts and solicitors, matter management, and process refinement. Our aim is to take the headache out of the interaction between the legal and medical professions, and as much as we endeavour to do this with intelligent processes, an empathetic approach and sound human judgement remain just as critical to our success, our values, and our reputation as courtworthy, trusted, and respectful experts. Key Responsibilities
Appointment & Case Coordination
- Schedule appointments.
- Manage expert calendars and availability.
- Create and maintain case matter records in SharePoint.
- Prepare appointment documentation and briefing packs. Communications & Stakeholder Management
- Manage high-volume email inboxes, phone calls and SMS communications.
- Liaise with solicitors, insurers, experts and clients.
- Escalate urgent matters and ensure timely responses. Report Production & Administration
- Coordinate report workflows between typists, experts and proofreaders.
- Format medicolegal reports and supporting documentation.
- Facilitate Docusign processes and contract management.
- Release reports in accordance with company procedures. Documentation & Compliance
- Maintain accurate records across multiple systems.
- Ensure all matters have completed contractual documentation.
- Update expert details and maintain database integrity. Operational Support
- Assist with invoicing processes.
- Support clinic operations and administrative workflows. About You
To succeed in this role, you will bring: Essential Skills & Experience
- Previous experience in administration, legal administration, medical administration or professional services.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- High level of proficiency with Microsoft Office and cloud-based systems.
- Strong organisational and problem-solving skills.
- Ability to work independently while contributing to a collaborative team environment. Highly Regarded
- Experience in medicolegal, legal, healthcare or insurance environments.
- Experience with SharePoint, Acuity Scheduling or similar systems.
