About the role A full-time opportunity is available for an experienced Property Officer to join Douglass Hanly Moir Pathology at our head office in Macquarie Park, Sydney. This is an on-site role based in the office, working closely with the Property Manager and broader Property Team. The Douglass Hanly Moir Pathology property team manages more than 450+ properties across NSW. Reporting directly to the Property Manager, this role is ideal for a capable property administration professional with at least 3 years’ experience who is ready to contribute to a large and diverse portfolio while continuing to build their career in property management. The successful applicant will bring practical experience in lease administration, landlord and solicitor liaison, and property compliance, together with the confidence to operate in a busy, high-volume environment. In addition to providing high-quality administrative support to the department, the successful applicant will play an active role in core property functions, including lease administration, rent and outgoings coordination, and compliance support. This role offers genuine long-term development and will suit someone who enjoys working in a structured, fast-paced environment and is looking to grow their capability within a well-established organisation. Applicants should demonstrate a professional phone manner, a collaborative and flexible approach, and the ability to work both independently and as part of a structured team environment. The successful applicant will demonstrate excellent attention to detail, robust communication, sound time management and organisational skills, and a friendly, professional manner. They will also bring solid Microsoft Office capability, the ability to manage competing priorities, a willingness to learn, and a clear understanding of the confidential nature of the work environment. Previous experience in property administration, including lease records management, key date tracking, landlord correspondence and property documentation, is essential. Initial Responsibilities
- Maintaining and updating property databases and lease records
- Maintaining accurate filing systems (electronic and hard copy) for property and lease documentation
- Monitoring key lease dates and critical obligations (e.g. options, expiries, notices)
- Assisting with the preparation and management of the monthly rent schedule
- Facilitating rent and outgoings payments, including invoice coordination
- Coordinating maintenance, repairs and property compliance requirements
- Supporting Medicare compliance processes relating to property licensing
- Preparing correspondence to landlords, agents and internal stakeholders
- Preparing and assisting with lease documentation and drafting using approved templates and precedents
- Providing administrative support to the Property Team Development & Progression
- Liaising with solicitors, landlords and agents regarding lease matters
- Assisting with lease negotiations and coordination of commercial terms
- Supporting lease review, interpretation and issue identification
- Assisting with the coordination of lease execution processes with internal stakeholders and external solicitors
- Supporting resolution of basic lease queries and landlord matters under supervisionIncreasing involvement in landlord and agent relationship management
- Exposure to negotiation strategy and commercial lease structuring
- Broader exposure to portfolio management and commercial decision-making The role operates within a high-volume environment, managing a large portfolio of sites, requiring strong attention to detail, organisation, and the ability to manage competing priorities. Applicants should have a minimum of 3 years’ experience in property administration, ideally within a commercial, healthcare or high-volume portfolio environment. Experience supporting lease administration, rent and outgoings processes, compliance coordination and stakeholder communication will be highly regarded.
