At Novatech, we’re looking for an experienced Operations & Rostering Coordinator to help keep some of Australia’s biggest live events running smoothly behind the scenes. This role is perfect for someone who enjoys complex coordination, high-volume administration, and staying five steps ahead. The Role: The Backbone Behind the Scenes Before the lights go on and the bass drops, someone needs to make sure the right crew, equipment, travel, logistics, and schedules all come together seamlessly. That’s where you come in. This is a highly administrative and coordination-focused role. You’ll spend a large portion of your day managing schedules, solving resourcing challenges, coordinating logistics, communicating changes, updating systems, and keeping moving parts aligned across multiple projects and teams. This isn’t a quiet desk job in a sleepy office. It’s a fast-moving operational role where priorities can shift quickly, attention to detail matters, and strong problem-solving skills are essential. Here’s what you’ll be doing:
- Rostering & Scheduling: Coordinating shifts for permanent and freelance crew across multiple projects, balancing operational needs, availability, fatigue management, and changing priorities.
- Administration & Operational Support: Undertaking a wide range of general administrative and coordination tasks to support the smooth running of operations. This includes raising purchase orders, maintaining records and reports, managing the distribution and tracking of official Novatech uniforms, and coordinating facility access, staff lockers, uniforms, and parking allocations.
- Problem Solving & Coordination: Responding to last-minute changes, finding practical solutions, and helping keep projects moving when challenges arise.
- Payroll & Leave: Managing timesheets, TOIL, and staff leave in collaboration with the Operations Manager, ensuring accuracy and attention to detail.
- Compliance & Training: Monitoring licences and certifications, booking training, and maintaining a strong focus on safety and compliance.
- Travel & Freight: Coordinating crew travel, accommodation, vehicles, freight logistics, and event requirements while keeping budgets and timelines on track.
- Out-of-Hours Coordination: Live events don’t always run 9-5. Early starts, late finishes, and occasional weekend work are part of the industry, and our team steps up when it counts. Who You Are You’re organised, adaptable, and calm under pressure. You know how to manage competing priorities without dropping the ball, and you’re the kind of person who notices issues before they become problems. You’ll thrive in this role if you:
- Have experience in rostering, workforce coordination, logistics, operations, or similar quick-paced environments.
- Enjoy administration, coordination, and problem solving, and genuinely take pride in being organised and detail-oriented.
- Can confidently manage high volumes of moving information while maintaining accuracy.
- Build strong working relationships with internal and external stakeholders.
- Are comfortable making decisions, adjusting plans, and responding to changing priorities.
- Communicate clearly, professionally, and efficiently.
- Have experience using rostering or workforce management systems (Personnel Manager experience is a bonus, but not essential).
