Description
ASP Access Floors is looking for a Project Administrator to join our team. Your role is to provide administrative support to the Projects Team throughout the project lifecycle.
The role is mainly office based but with regular opportunities to visit building sites in Sydney and throughout Australia. The team setting is supportive and the work is dynamic and deadline driven.
**Role Responsibilities**: **Preparation of project documentation for pre-commencment onsite**:
- Review and follow onboarding packs provided by builders including file naming conventions and formatting for document submissions
- SWMS, Safety Plan, Quality Plan, ITP, MSDS, Tech Data
- Sample Submissions
- Insurances and EBA documents
- Attend relevant site and or virtual meetings with builder
- Compile information for inductions
**Subcontractor management**
- Maintain accurate personal data and manage training and competencies across internal and multiple external platforms (Blueglue, EIFY, 3Dsafety, Hammertech etc)
- Whitecards, Driving Licences, Visas, Police Checks, Drug & Alcohol Training, Asbestos, Manual Handling, Fit Testing, Calibration Certs, Profile Pics
- Manage passwords to external sites
- Internal training records
- Maintain Test & Tag records
- Maintain Plant and asset register
**Claims / Variations**
- Collate site instructions and day labour dockets for uploading to job folders
- Upload supporting variation docs to ITWOCX
- Maintain Project dates and defect periods in Jobpac
- Assist with creating variations
**Preparation of project close-out documentation**
- O&M; manuals
- Prepare Warranty’s, Deeds, Certificates
- Collate and send As Builts
- Collate and file ITP’s
- Collate and file Toolbox talks and general WHS docs
- Prepare and send Greenstar and sustainability info
**General**
- Attend internal meetings
- Set up systems to create efficient working practices where required
- Contact suppliers for quotations
**Skills Required**:
- Team Oriented
- Able to follow and interpret detailed technical written instructions
- Excellent multi tasking
- Building industry knowledge
- Exceptional organisational skills
- Ability to quickly learn proficient use of multiple construction-based software platforms
- Strong general computer skills
- Confident communicator
- Good time management
**Salary**: $70,000.00 per year
Schedule:
- 8 hour shift
Supplemental pay types:
- Performance bonus
