About the Role At STEPS2LIFE CARE PTY LTD, we are seeking an experienced and proactive Office Manager to lead and coordinate the administrative operations of 3 of our clinics in North Parramatta, Regents Park and Kingswood. This is a pivotal role responsible for ensuring the smooth and efficient day-to-day functioning of each clinic, supporting senior management, and driving continuous improvement in office systems and processes. The successful candidate will bring a hands-on approach, strong organisational acumen, and the ability to manage competing priorities in a dynamic workplace. Key Duties and Responsibilities
- Plan, organise and oversee the administrative functions of the office to ensure operational efficiency and compliance with organisational policies.
- Manage and coordinate all administrative staff across our clinics, including assigning tasks, monitoring performance, and facilitating on-the-job training and development.
- Manage clinician schedules for in-clinic and travel appointments including any part-time or flexible working schedules which also includes overseeing and approving all sick and annual leave requests
- Oversee travel appointments including budgets, expenses and any associated reimbursements for travel sessions.
- Manage office budgets, monitor expenditure, and prepare financial and administrative reports for senior management review.
- Oversee procurement of office supplies, equipment, and services, including negotiating with vendors and managing supplier relationships.
- Develop, implement, and review office systems, procedures, and policies to improve workplace efficiency and ensure consistency of operations.
- Coordinate facilities management, including maintenance scheduling, workplace health and safety compliance, and liaison with building management and external stakeholders.
- Manage correspondence, records, and document management systems, ensuring accuracy, confidentiality, and compliance with retention requirements.
- Provide high-level executive support to senior management, including scheduling, meeting coordination, travel arrangements, and preparation of briefing materials.
- Liaise with external stakeholders, clients, and government bodies as required, representing the organisation professionally.
- Assist in the planning and execution of staff events, onboarding of new employees, and other internal coordination activities. Selection Criteria
- Minimum 1 year of demonstrated experience in an office management, senior administrative, or operations coordination role.
- Diploma in Business Administration, Management, or a related field.
- Experience using project management or scheduling platforms
- Proven ability to plan and supervise administrative workflows and lead a small team of support staff.
- Strong financial literacy, including experience managing budgets and preparing management reports.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office management software or ERP systems.
- Excellent written and verbal communication skills, with a professional and client-focused approach.
- High level of organisational ability, attention to detail, and capacity to manage competing priorities under minimal supervision.
- Sound understanding of workplace health and safety obligations and records management practices. Remuneration & Conditions
- Salary: $75,000 – $85,000 per annum + superannuation
- Hours: 38 hours per week – full-time
- Location: North Parramatta NSW 2151.
