Brighton Tours is seeking an experienced and highly organised Operations Coordinator – Inbound Day Tours to join our growing tourism team. This role is responsible for the day-to-day coordination and delivery of inbound day tour operations, ensuring exceptional customer experiences, smooth tour execution, and effective communication with guides, drivers, suppliers, and travel industry partners. The successful candidate must have previous experience working within the tourism industry, preferably in inbound tourism, tour operations, travel wholesaling, destination management, or day tour coordination. This is a fast-paced operational role requiring excellent attention to detail, strong problem-solving skills, and the ability to manage multiple priorities simultaneously. Key Responsibilities
- Coordinate daily operation of inbound day tours and sightseeing programs.
- Liaise with tour guides, drivers, suppliers, attractions, restaurants, and tourism partners.
- Manage tour bookings, amendments, cancellations, and operational changes.
- Prepare and distribute daily manifests, run sheets, and operational documentation.
- Monitor tour departures and ensure all services operate according to schedule.
- Handle customer enquiries and provide exceptional service to travel agents, wholesalers, and direct customers.
- Assist with guide and driver allocations in conjunction with the Operations Team.
- Maintain accurate booking and operational records.
- Coordinate special requests and VIP group requirements.
- Monitor tour capacity and maximise operational efficiency.
- Resolve operational issues quickly and professionally.
- Work closely with sales, reservations, and marketing teams to ensure seamless service delivery.
- Assist with product development and continuous improvement initiatives.
- Support after-hours operational requirements when necessary. Essential RequirementsTourism Industry Experience (Essential) Applicants must have:
- Minimum 2 years' experience within the tourism industry.
- Previous experience coordinating inbound tours, day tours, sightseeing products, group travel, or travel operations.
- Strong understanding of Australian tourism products and destinations.
- Experience working with travel agents, wholesalers, online travel agents (OTAs), inbound tour operators, or destination management companies (DMCs). Skills & Competencies
- Exceptional organisational and time management skills.
- Ability to manage multiple tasks and deadlines simultaneously.
- Strong customer service and relationship management skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to work under pressure in a fast-paced setting.
- Strong problem-solving and decision-making abilities.
- Proficiency in Microsoft Office Suite.
- Experience using reservation, tourism, or tour management systems is highly desirable. Desirable
- Experience with inbound Asian tourism markets.
- Additional language skills (Mandarin, Japanese, Korean or other languages) highly regarded.
- Knowledge of Sydney, the Blue Mountains, Port Stephens, Hunter Valley, Canberra, Jervis Bay and other New South Wales tourism destinations.
- Experience in coach tourism operations.
- Understanding of group travel logistics and itinerary planning. Working Hours & Flexibility This position is primarily Monday to Friday; however, the successful candidate must be willing to work occasional weekends and public holidays during peak tourism periods and operationally busy seasons. Tourism is a customer-focused industry, and flexibility is essential to ensure the successful delivery of tours and exceptional guest experiences. Additional hours may occasionally be required during peak travel periods, major events, school holidays, and seasonal demand. The successful applicant will be expected to take ownership of their portfolio and assist in ensuring tour operations run smoothly during busy periods, including providing operational support outside standard business hours when required.
