Our team thrives on professionalism, collaboration, and excellent client care—and we are looking for a like-minded (PA/Secretary/Receptionist we call) Client Services Coordinator to join us. About the Role You'll be central to the client experience, working with a supportive team gaining exposure to compliance, technology platforms AI and client-facing project work. As a Client Services Coordinator, you will be the first point of contact for our valued clients and play a vital role in supporting the smooth day-to-day operations of the firm. You will manage client communications, assist with document workflows, and collaborate with our accounting team to ensure an exceptional client experience from start to finish. Full-time hours preferred, however, can have some flexibility. Key Responsibilities
- Act as the primary contact for client queries via email, phone, and in person
- Coordinate client meetings, including scheduling and preparing relevant materials
- Coordinate marketing seminars and workshops including scheduling and preparing relevant venue, materials and resources
- Manage client document workflows including e-signatures for tax returns, financials, and ASIC forms
- Handle ATO and ASIC assessments, lodgments, and compliance correspondence
- Maintain and update accurate client records and databases (CRM)
- Support onboarding for new clients by collecting documentation and managing forms
- Collaborate with the accounting team to ensure timely delivery of services
- Assist with general administrative duties and continuous improvement of service processes
- Maintain standard of the general office and team facilities Key Requirements
- Minimum 3 years' experience in an administrative PA / Secretary / Receptionist role
- Typing speed of 60 words (or above) per minute with 95% accuracy
- Impeccable grammar and spelling
- Strong professional written and verbal communication skills
- Professional outlook and mindset
- Excellent attention to detail, organisational skills, and time management
- A people person—professional yet empathetic, approachable, and committed to outstanding client service
- Able to work independently and as part of a team in an open plan office
- Previous experience in an accounting or professional services firm desirable but not essential
- Proficient, if not a champion, using MS Outlook, Word, Excel, PP, Teams, Zoom Advanced proficiency required in MS Office applications including Outlook, Word, Excel, PowerPoint, and Teams
- Familiarity with Xero, FYI, Nagaris and BGL highly regarded but not essential
- Confident in using technology and able to learn new systems quickly including AI based applications
